Job Description We currently have an opening for a Marketing/Proposal Coordinator in our Irvine or Los Angeles office to join the strong and dynamic Winning Pursuit Team of Arcadis. The Marketing/Proposal Coordinator works closely with Pursuit/Proposal Specialists and other team members to support marketing, capture planning, proposal and business development activities. This is a dynamic position that requires strategic thinking, flexibility, planned and proactive approaches, and the ability to shift priorities frequently while maintaining attention to detail and achieving high quality standards. The Marketing/Proposal Coordinator must be able to prioritize, multi-task, function effectively as part of a team under multiple deadlines and time constraints, schedule workload and manage time efficiently in a high-pressure, fast-paced environment while demonstrating an energetic “can do” attitude. Industry experience is a plus, but not required. We are looking for the right energetic team member who will learn the industry quickly. Job Responsibilities/Activities: Marketing Information & Cosential System Management Support the development and maintenance of various written content including project descriptions and information, staff resumes and photography on a regular basis in marketing drives and databases Proactively identify backlog of projects or resumes that need to be created or updated Proactively coordinate with staff to create master descriptions for new projects and staff resumes; interview technical staff to discern project details; draft content and collect photography; collaborate with technical staff and Pursuit/Proposal Specialists to ensure all final content is accurate Coordinate with Pursuit/Proposal Specialists and technical staff to maintain up-to-date, marketable personnel resumes throughout the year, create resumes for new hires within the first month of his/her start date Perform grammatical edits for all content to guarantee concise, correct language that promotes the staff member and our brand Work with Pursuit/Proposal Specialists and operations staff to ensure all content can be accessed in a timely manner when needed Serves as Cosential System Manager (system training can be provided) Continually update new information received at proposal stage into Cosential and other sources Responsible for inputting/uploading into the system and work with teams to maintain information proactively Leads Cosential planning, implementation and training as-needed for others Coordinating with Corporate and gathering info from announcements, newsletters, etc and make sure information gets back into Cosential Attend external and internal webinars and training on the system Proposal & Statement of Qualifications Support Support capture planning, proposal and marketing research efforts under the direction of Pursuit/Proposal Specialists Creates, edits and produces content for items such as proposals, statements of qualifications, SF330s, presentations, marketing collateral, handouts, and promotional materials Assists with writing, editing and proofreading proposals and other content Supports in preparing PPT slides and leave-behind materials for presentations and interviews Assists with proposal layout and editing in Indesign (Indesign experience a plus, training can be provided if needed) Interviews technical staff to tailor and/or write resumes, project descriptions and other proposal information Provides organizational support for pursuit and proposal activities (scheduling meetings and webinars, taking meeting minutes, production and logistics support, etc) Provides proposal printing and production support, and assembling and delivering final documents Responsible for working with Pursuit/Proposal Specialists to ensure that final folder structure (on either LA or Irvine marketing drive) is complete and all files are included for archival upon completion of each proposal Order and track inventory of proposal supplies and promotional items Assist with project award nominations (write, edit, design, submit) as-needed Participates in capture planning strategy efforts Additional Support Responsibilities Support with preparing pipeline reports Updates the pipeline with information on leads and opportunities Supports Pursuit/Proposal Specialists with research on opportunities, leads, clients and pursuits as-needed Supports outreach efforts, such as award submittals, client events, white paper or presentation development, tradeshows and public relations efforts as needed. “Arcadis will consider qualified applicants with criminal histories in a manner consistent with the Los Angeles Fair Chance Initiative for Hiring.” Required Qualifications Minimum years of experience: At least 1 year of professional experience preferred Education required: Bachelor’s degree in Marketing, Communications, English, Journalism, Creative Writing, Business Administration, engineering, science or architecture or a related field. (or equivalent professional experience) Skills required: Exceptional written and verbal communication skills and professional demeanor – speaks clearly and concisely, listens and gets clarification in one-on-one and group situations. (This position requires extensive writing and frequent communication via phone, email, and in person with co-workers and internal clients to proactively keep tasks on schedule) Strong planning, organizational, and time management skills Strong computer skills, including Word, Excel, Notepad and PowerPoint (Photoshop and InDesign experience is helpful, but not required) Strong customer service skills and willingness to assist others Proven problem-solving abilities Demonstrated attention to detail and commitment to producing high-quality work Ability to multi-task and stay ahead of deadlines Ability to work effectively with a team and independently Commitment to working with teams in an engaging, positive way.
