| || Job Purpose:
The Third Party Risk Management (TPRM) framework is being introduced to ensure that Novartis is conducting business with third parties who align to Novartis’ ethical standards. This is achieved by a robust, proportionate and proactive process to qualify and manage third parties, by which Novartis protects their business and their patients.
A TPRM Centre of Excellence is being formed in order to maintain, refine and improve the Global / cross divisional and cross functional TPRM framework, define the delivery standards required and on board new risks and guidelines into the framework as required. Within this team, Novartis will consolidate the management and oversight of its third party audit programme across risk areas to ensure a well governed, efficient, multi-dimensional audit experience for internal and external stakeholders.
The TPRM Audit Manager will be responsible for developing and managing the third party audit program in consultation with the risk functions, local businesses and TPRM Leadership Team. This may further include management of external service provides who conduct the audits on behalf of Novartis. The third party Audit Manager role sits in the TPRM Centre of Excellence team and reports to the TPRM Centre of Excellence Lead.
Third Party Audit Programme Establishment
Work with the risk functions to understand the risk specific audit approach and methodologies
Agree audit reporting templates and approach with the risk functions and the external assessors
Work with IT team to ensure audit templates are built into the technology solution
Understand and maintain risk function and external assessor audit key points of contact
Agree audit programme reporting metrics with TPRM Centre of Excellence Lead
Agree gathering and reporting process for audit programme metrics with the TPRM Service Team
Work with risk areas to create a consolidated audit programme
Third Party Audit Programme Oversight
Ensure that third party audits are conducted in a coordinated and consistent manner
Consolidate audit findings and actions in case more than one risk area is involved
Monitor third party audits, timeframes and outcomes and act as an escalation point where required This may be the case where third parties are not supportive of the audit or is not willing to provide data required
Manage External Assessors and ensure timely delivery of audit results
Monitor audit programme metrics and report outcomes to the TPRM Centre of Excellence Lead
Monitor to ensure that audit issues / recommendations and ensure identified no-go criteria have been raised in the TPRM Tool for remediation where required
Ensure that no-go criteria identified as part of audits have been followed up and the third party has not been proceeded with, and that a plan is in place to exit the relationship or address the no-go criteria to the satisfaction of the Risk Function Specialist
Gather feedback and learnings from the audit programme and provide feedback to the Risk Function Specialists and External Assessors in order to continually improve the value achieved from the audits
Third Party Audit – Pre-contract Audits
Consolidate and manage third party audit requirements as part of the pre-contract due diligence process across all applicable risk areas
Liaise with Business Owners and Risk Function Specialists in assessing requests for urgent audit initiation of audits
Third Party Audit – Monitoring Audits
Work with Risk Function Specialists to develop and align central proactive monitoring audit plan across all risk areas for a sample of high risk third parties
Act as central point of contact for receiving, assessing and working with the Risk Function Specialists to decide on requests to perform ad hoc third party audits
Work with local markets to ensure any local audit programmes are aligned to global TPRM audit strategy and approach
Gather results from the TPRM monitoring audits and ensure that risk indicators and no-go criteria identified are appropriately recorded in the templates
TPRM Business Partnering
Building strong, effective, proactive, and collaborative relationships with the TPRM Service Team, the TPRM Leadership team, the risk functions, steering committee and stakeholders outside the company to support the TPRM Centre of Excellence lead in performing the key functions of Centre of Excellence effectively
